Johnson Tractor is seeking a highly organized and detail-oriented Office & Accounting Coordinator to support operations at one of our dealership locations. This role plays a key part in managing cash handling, accounts payable, sales administration, payroll support, and general office operations to help keep the dealership running efficiently.
The ideal candidate will be highly organized, detail-oriented, and very proficient in Microsoft Office Suite, particularly Excel and Outlook, as the role relies heavily on financial tracking, reporting, and documentation. This position works closely with Sales, Parts, Service, and Accounting teams to ensure consistent, accurate, and efficient processes across the dealership.
What You’ll Do:
Front Office & Administrative Support:

Answer and direct incoming phone calls professionally and courteously

Process incoming mail, customer payments, and office documentation

Maintain organized digital and physical filing systems
-
Monitor and follow up on open administrative items and internal requests

Support general office organization and day-to-day administrative needs
Cash Management & Financial Administration:
-
Balance daily cash drawer and reconcile transactions according to company procedures
-
Prepare and complete bank deposits and post them in the dealership management system
-
Process petty cash with proper documentation and track over/shorts
-
Review accounts receivable reports and assist with account maintenance as needed
Accounts Payable & Invoice Processing:
-
Retrieve, code, and submit invoices for approval and timely payment
-
Monitor due dates and discounts to support prompt payment
-
Attach invoices to corresponding wholegoods in the dealership management system when applicable
-
Maintain organized financial records and assist with invoice research or reconciliation
Wholegoods & Sales Administration:
-
Create and maintain new and used wholegood units in dealership systems and TractorZoom
-
Process sales documentation, credit contracts, and financing agreements
-
Facilitate equipment settlement processes with vendors
-
Complete required registration documentation and assist with customer signatures on agreements
Payroll & Timekeeping Support:

Review payroll reports for accuracy prior to submission

Enter approved PTO into the system and adjust timeclock records as needed
Reporting & Operational Coordination:

Maintain store calendar including PTO, trainings, and store events
-
Order office supplies and maintain appropriate inventory levels

Update and maintain tax-exempt documentation and customer tax coding
-
Assist with store events, audits, and other operational initiatives

What We’re Looking For:

Strong organizational skills with the ability to manage multiple tasks and shifting priorities

Advanced Microsoft Office skills, particularly Excel and Outlook

Excellent written and verbal communication skills

Team-oriented mindset with a willingness to support multiple departments

High attention to detail with strong documentation and record-keeping skills

Professional phone etiquette and a customer-focused approach

Basic understanding of accounting principles, including cash reconciliation, accounts payable, and accounts receivable

Prior administrative, accounting, or dealership experience preferred but not required

Valid driver’s license required
