Johnson Tractor is seeking a highly organized and detail-oriented Assistant to the Service Director to support the operations of our service departments. This role plays a key part in coordinating service training, safety initiatives, technician reporting, budgeting support, and general administrative functions that help keep our service teams operating efficiently.
The ideal candidate will be highly organized, detail-oriented, and very proficient in Microsoft Office Suite, particularly Excel and Outlook, as the role relies heavily on reporting, scheduling, and documentation. This position works closely with the Service Director, Service Managers, technicians, and other departments to ensure service operations run smoothly across multiple dealership locations.
What You’ll Do:
Service Training Coordination:

Schedule and enroll technicians in service training programs as directed by the Service Director.

Maintain accurate records of completed service training to ensure compliance with manufacturer and supplier requirements.

Coordinate travel and hotel arrangements for technicians attending training when necessary.
Safety Meeting Coordination:

Work with the Safety Consultant and Service Director to schedule regular in-person safety meetings for all store locations.

Manage and maintain safety meeting schedules within Outlook calendars.

Track and maintain records for required safety trainings such as forklift safety, fire safety, and lockout/tagout procedures.

Coordinate with Human Resources regarding service department work-related injuries and reporting.
Technician Reporting and Budget Support:

Assist the Service Director with compiling technician productivity and recovery reports and distributing them to Service Managers.

Support preparation and tracking of service department revenue and expenses for budgeting purposes.
Operational Support & Communication:

Manage and maintain documentation related to service work, equipment movement, and customer communication.

Serve as a secondary contact for incoming calls directed to the Service Director, helping prioritize and route requests appropriately.

Maintain the vehicle tracking system for all service vehicles.

Coordinate new service vehicle preparation and delivery logistics.

Assist the Service Director in addressing customer questions, concerns, or service-related issues when needed.
What We’re Looking For:

Strong organizational skills with the ability to manage multiple tasks and shifting priorities.

Advanced-level Microsoft Office skills are required, particularly in Excel, Word, Outlook, and PowerPoint, as this role involves frequent report preparation, data tracking, scheduling coordination, and documentation management.

Excellent written and verbal communication skills.

Team-oriented mindset with a willingness to support technicians, drivers, and service leadership.

Strong problem-solving ability and the capacity to respond quickly to logistical challenges.

High attention to detail with strong documentation and record-keeping skills.

Professional phone etiquette and a customer-focused approach.

Experience in agriculture, equipment service environments, or clerical service support preferred but not required.

Valid driver’s license required.
